- 1). Find out the main telephone number and the extension that you will be calling. Business and government websites often list the extensions of specific members of the organization. Extension numbers may also be listed on business cards and business letters. If you are speaking to someone and want to call them back, you can also ask for the extension number.
- 2). Input the extension number directly into the phone if dialing from inside the business or company itself.
- 3). Input the main telephone number when dialing from outside the business or company.
- 4). Wait for a prompt, and then enter the extension number. The prompt may come in the form of a question from a receptionist or secretary.
- 5). Use the automated menu system, if present, to indicate the extension number you are calling.
- 6). Dial any additional keys the automated system may ask for, such as the pound sign.
